The Smith College OneCard is a multi-purpose photo ID card issued to eligible Smith community members. In addition to identifying your status at Smith, your OneCard provides access to a variety of campus services, including library circulation, dining services, door access, and entry to gyms and tennis courts.
Students
Obtaining Your OneCard
Start by
uploading your photo online
. See below for important photo submisssion guidelines.
If you’re not already logged into your Smith account, follow the prompts to enter your Smith College network username and password.
In the Welcome window, select
Continue
. You do not need to enter a phone number.
In the Overview window, select
Submit ID Photo
from the menu on the left.
In the Photo Upload window, you will see your Current ID Photo (if we have one). Select
Upload Photo
, navigate to the image you wish to submit, and select it.
Review the photo in Photo Upload window. If it is correct, select
Submit
. If you wish to upload a different photo, select
Cancel
The new picture will appear as a Pending ID Photo. To submit your photo for approval, select
Submit
. When you are finished, select
Logout
from the left menu.
Smith College staff will review uploaded photos for compliance with our guidelines. Rejection and acceptance notices will be sent to your Smith College email account. Due to the volume of work, we are unable to reply to individual queries regarding the acceptance or rejection of an image.
Most incoming students will receive their OneCard in their packet at Central Check-In, but some may receive their OneCard as part of their orientation program.
Common Mistakes to Avoid
Prospective students should note that there are many common mistakes made with electronic photo submissions that render them unacceptable, despite meeting composition requirements. The most common mistakes include:
Resizing an image to meet the size requirements without maintaining the correct aspect ratio.
Enlarging an image of insufficient resolution so that the resulting image quality is poor.
Use of low quality digital cameras such as camera phones which produce poor images, poor editing of an existing image to remove extraneous background or other unacceptable details.
Incorrect formatting of images (e.g. use of gif, tiff, or pcx formats, etc.).
Photo Composition Requirements
Your photo must:
Show you looking directly at the camera with a neutral expression or smiling.
Have your face clearly visible and shoulders square to the viewer.
Have a white or off-white background.
Include only your head and upper shoulders.
Not show other people, animals, etc. or parts thereof.
Avoid headwear or sunglasses (exceptions are made for headwear worn for religious or medical purposes).
What Your One Card Can Do
Door Access
Door access to residence houses, dining rooms, and academic spaces is automatically programmed on your OneCard based on your housing assignment, dining plan, and course registrations.
Dining
Use your OneCard for meals in dining rooms or use it to order food with the GrubHub app.
Students on the board plan can use their cards at the cafes to use their Dining Dollars.

Printing
Students use their OneCard to release their print jobs at student printers in the Libraries, Science Center buildings, and in Seelye Hall.

Gym Access
All Student OneCards are programmed to allow access to the Ainsworth gym, including door access through the Scott gym door, as scheduled by the athletics department. Student OneCards allow a guest to access the gym/fitness facilities when accompanied by the student.
Library Materials & Equipment Loans
Active Smith students, faculty, and staff will use their OneCard to borrow library materials and equipment. This includes computer accessories and media production equipment. For information, visit this

Buses
Buses to local colleges are free during the semester with your OneCard.
Campus Cash
Students can add and store funds, called Campus Cash, on their OneCard to pay for dining and printing expenses, as well as at Mail Services in the Campus Center.
Deposits to Campus Cash can be made online at

with a credit or debit card or with cash at deposit stations in Neilson Library and Campus Center.
Employees
The Smith College OneCard is a multi-purpose photo ID card issued to eligible Smith employees. Your OneCard can be used to access Smith’s gym facilities, release
FollowMe print jobs
, and
borrow library materials
and computer equipment. If appropriate for your job responsibilities, your OneCard will also provide access to buildings with card access.
OneCards are not issued prior to your appointment date (first day of employment). To obtain your Smith OneCard, email

to set up an appointment on or after your first day to get your photo taken and pick up your card.
Appointments for card pick-up are in Seelye Hall B8 (lower level). Please email in advance to avoid potential delays.
Lost or Stolen Cards
To suspend a lost or stolen card online, visit the
Smith College OneCard site
, sign in, and complete the form under “I Lost My OneCard.” (Employees can select the login under Smith Student to report their own lost OneCard.)
Temporary Card
If you believe your card is temporarily misplaced or forgotten somewhere else, a temporary card can be issued.
To obtain a temporary card, visit the
User Support Center
. After business hours, visit Campus Safety.
Once a temporary card is issued or your original card is suspended, your original OneCard will no longer work. If the card is found after receiving a Temporary OneCard, bring both cards to the
User Support Center
for reactivation.
Lost Card
If you believe your card is stolen or permanently lost, you can request a replacement card by writing to ithelp@smith.edu or visiting the
User Support Center
. These are not temporary cards. Undergraduate students receive one free replacement card during their time at Smith. Additional replacements are $20 each.
Others
Alums
Alums qualify for a OneCard to use for gym access (for a fee) and
library use
. Smith graduates can request an Alum OneCard anytime after they graduate. Recent graduates must wait approximately one month before a card can be issued.
To obtain a card in person, email

and include your name and Smith ID number (99#). A team member will confirm your information and provide instructions for making an appointment to take your photo, pay for and pick up your card. The cost of the initial OneCard is $15. Replacement cards are $20.
Spouses and Dependents
Spouses and dependents of benefited employees who qualify for a OneCard can receive their OneCard ID for gym and
library use
To qualify for a OneCard, the spouse or dependent must be registered in Workday.
Once the person is listed in Workday, email
ithelp@smith.edu
to set up an appointment to take their photo and pick up the card. The person getting the OneCard will need an ID for verification.
The initial spouse or dependent OneCard costs $15; replacement cards cost $20.
Dependent Eligibility
Dependents between the ages of 16–23 are eligible to receive a OneCard.
Dependents must be at least 16 to have gym access on their OneCards. Children under 16 may not receive a OneCard but are allowed gym access when accompanied by and actively supervised by a parent/guardian.
Five College Students
Five College students enrolled in a Smith course may receive a Five College ID for dining hall access or additional campus access if required for coursework. In the case of the latter, the course instructor must email

to request access on behalf of the student. The ID card may also be used to borrow certain
Smith library resources
Local High School Students
High school students enrolled in a Smith course may receive a High School ID that can be used to borrow certain
Smith library resources
. If any additional campus access is required for coursework, the instructor of that course must email

to request access on behalf of the student.
FAQ
I have a new name. How do I update my OneCard?
You can exchange your current OneCard with your legal name for a new one with your preferred name. Here’s what you need to facilitate this process.
First, you must have the name you want to use entered in Workday. This is a required step before exchanging your card. You can check this by looking at your entry in the
Smith online directory
. If you already have a first name on file other than your legal name, it is displayed in your online directory entry.
If you already have the name you want to use entered in Workday, you are all set. You can email the User Support Center at
ithelp@smith.edu
during regular business hours and request a new card.
If you do not yet have the name you want to use entered in Workday, you will need to set that up. Once you have done this, you can email the
ithelp@smith.edu
the next business day to set up an appointment to get your new OneCard. Keep in mind it can take up to 48 hours for the OneCard system to reflect the name change after updating it in Workday.

When you arrive at the User Support Center, the staff on duty will ask for your current OneCard. They will use it to validate your identity. Then, they will dispose of your old card and give you a new one that lists the name you want to use. Please note that the Smith online directory will also include the new name once you make this change.
My affiliation with Smith has changed (e.g., formerly a student, now faculty/staff)—do I need a new OneCard?
Yes. Your OneCard type should reflect your current Smith account status. Whenever your status changes, email
ithelp@smith.edu
to set up an appointment to receive a newly updated OneCard.
Do OneCards expire?
Students’ OneCards will become inactive shortly after graduation. They are eligible to receive an Alum OneCard upon request.
