Part-Time Event Coordinator for Spring, Summer and Fall of 2026
Position Description
Calvert Vaux Preservation Alliance (CVPA) is inviting candidates to apply for a part-time, grant-funded seasonal position from April through October/November of 2026.
Working with and reporting to the CVPA Events Committee, the coordinator will:
Manage all logistics in support of three off-site events and several on-site tours of The Point in Staatsburg, NY
Known as “Talks and Tours”, this program is intended to increase visibility for CVPA and its efforts to save and re-purpose the Hudson River estate known as The Point, designed in 1855 by Calvert Vaux, one of the most accomplished architects and landscape designers of the 19
th

This is a freelance position offering an hourly fee of $27.50 for an estimated 20 hours per month over the spring, summer and fall of 2026. Applicant should have experience with event planning, and be available to work evenings and weekends as needed. Much of the work will be online and will be manageable from home.
Key Responsibilities
Coordinate venue booking, ticketing, guest lists, catering, audio-visual, and speakers’ travel and lodging, meals, and other requirements as needed for the talks.
Manage on-site registration, setup, and breakdown for the talks.
Work with all vendors to track and record invoices/costs for grant report documentation.
Coordinator will need to be present at the talks, but not the tours.
About “Talks and Tours”
In-person site tours
of The Point in Staatsburg are for visitors to learn about the site’s buildings and landscape, the Hoyt family, and Calvert Vaux’s work. The tours will be led by CVPA members and volunteers.
The three off-site talks, presented by historians and other scholars,
are currently under development, for presentation over the summer and fall. Two of these talks will be in New York City.
