About RIS and Cronfa
Swansea University's Research Information System (
RIS
) is designed to be a single, central repository of published and ongoing research at the University. All research publications authored or co-authored by Swansea University staff and higher degree postgraduate students can be uploaded into RIS and this feeds the following services:

Which manuscript version do I need to upload to RIS?
RIS can be accessed through the staff dashboard using your university login. This service is only available to Swansea University staff and postgraduate students. Go to 'My Apps' then select 'RIS'.
The Library Research Support Team (LRST) can help with general queries for outputs, embargo periods, copyright, reporting functions etc.
Technical problems can be logged using the
Service Now
portal from the My Apps area of the staff intranet.
All members of staff have access to RIS via the staff intranet. You can upload documents yourself provided that you either own the copyright or your publisher permits deposit.
It is your responsibility to make sure that content uploaded to Cronfa is not infringing copyright. The system allows documents to be embargoed if required. Please note that the
Swansea University Research Publications Policy 2023
includes rights retention for your accepted journal or conference article manuscript document.  You can release the accepted manuscript  in Cronfa at first online publication with no embargo. This also applies to book chapters.
Ideally documents should be
deposited on acceptance for publication
to be certain of meeting
REF
requirements.
PDF documents are recommended as these are widely accessible. You may also deposit Docx,TIFF, PostScript and PowerPoint files.
You must ensure that any deposit does not infringe the rights of any other person or organisation or include any defamatory or sensitive information. Care must be taken to ensure that there is no risk of data protection infringement with any data content.
Ensure you meet your funder obligations.
Research outputs disseminated via Cronfa are easily searchable, free to the user and are immediately available subject to publisher copyright restrictions
Cronfa gives researchers the opportunity to promote their research across a global platform
The University benefits from having a shop window of accessible research which helps to draw in potential students, staff, investors or collaborators
Each item deposited in the repository has a permanent URL associated with it
The content of this repository is indexed in Google and other online services
RIS feeds your PDR software platform and your staff profile page
The copyright of the work remains with the author or publisher depending on the copyright transfer agreement signed by the author.
From July 2023 the
Swansea University Research Publications Policy
enables researchers to retain re-use rights in their own work and requires full and immediate open access for all.
Funded and unfunded peer reviewed research articles, published in either a journal, conference proceeding or publishing platform
Book chapters
Authors who are not citing specific grant funding are required to retain their author rights.

Full text items deposited in Cronfa are subject to copyright. Conditions of use vary and copyright may be indicated on the page associated with each item.
Anyone may access the metadata free of charge. Metadata may be used or reproduced in any format or medium, without prior permission for not-for-profit purposes provided the OAI identifier or a link to the original metadata record are given.
Swansea University bears no responsibility for any infringements of third-party copyright.
About Cronfa
Published research uploaded into the Swansea University Research Information System (RIS) will automatically be made available through Cronfa, the university repository. The repository will preserve a copy of the research output for a minimum of 10 years, and will use best endeavors to ensure continued readability and accessibility. This means that items may be migrated to new file formats where necessary.

Full-text items deposited in Cronfa are subject to copyright. Unless indicated otherwise, all rights are reserved and items may only be used in accordance with national copyright laws.
